Complete guide to managing parent accounts and linking them to students

Parent Management

The Parent Management section allows administrators to create, edit, and manage parent accounts, link parents to students, and handle parent-related communications.

Overview

Parent Management enables you to:

  • Create new parent accounts
  • Link parents to their children (students)
  • Edit parent information
  • View parent-student relationships
  • Manage parent access and permissions
  • Search and filter parent accounts

Creating a New Parent

Step 1: Navigate to Parent Management

  1. Log in to the administrator dashboard
  2. Click on "Parents" in the navigation menu
  3. Click the "Add New Parent" button

Step 2: Fill in Parent Information

Enter the following information:

  • Full Name: Parent's complete name
  • Email: Parent's email address (used for login)
  • Phone Number: Contact number
  • Address: Residential address (optional)
  • City, State, Country: Location information
  1. Search for students by name or ID
  2. Select one or more students to link to this parent
  3. The parent will have access to these students' information

Step 4: Save Parent Account

  1. Review all entered information
  2. Click "Save" or "Create Parent"
  3. The system will create the parent account and send login credentials

Parent Account Creation

When a parent account is created, the system automatically generates login credentials. These can be shared with the parent or reset if needed.

Editing Parent Information

Accessing Parent Profile

  1. Go to Parent Management
  2. Search for the parent by name or email
  3. Click on the parent's name or the "Edit" button

Updating Information

  1. Make changes to any field
  2. Update linked students if needed
  3. Click "Save Changes" to update

Linking Parents to Students

  1. Open the parent profile
  2. Navigate to the "Linked Students" section
  3. Click "Add Student"
  4. Search and select a student
  5. Click "Link" to establish the relationship
  1. Go to the parent's linked students
  2. Click "Remove" next to a student
  3. Confirm the removal
  4. The parent will lose access to that student's information

Bulk Student Linking

  1. Select multiple parents
  2. Use bulk actions to link them to the same student
  3. Useful when multiple parents need access to one child

Viewing Parent Details

The parent profile page displays:

  • Basic Information: Name, email, phone, address
  • Linked Students: All students linked to this parent
  • Access History: Recent login and activity information
  • Invoice Access: Invoices related to linked students
  • Performance Access: Access to children's academic performance

Searching and Filtering Parents

Search Functionality

Search parents by:

  • Parent name
  • Email address
  • Phone number
  • Linked student name

Filter Options

Filter parents by:

  • Linked Students: Parents linked to specific students
  • Active Status: Active or inactive accounts
  • Last Login: Recent activity

Managing Parent Access

Account Status

  • Active: Parent can log in and access the portal
  • Inactive: Parent account is disabled
  • Suspended: Temporary suspension of access

Resetting Passwords

  1. Open the parent profile
  2. Click "Reset Password"
  3. New temporary password will be generated
  4. Share the new password with the parent securely

Best Practices

Troubleshooting

Issue: Parent cannot see their children

  • Solution: Verify that students are properly linked to the parent account in the Linked Students section

Issue: Parent cannot log in

  • Solution: Check account status, verify email, and reset password if needed

Issue: Incorrect student linked

  • Solution: Remove incorrect link and add correct student relationship
