Guide to managing and viewing attendance data

Attendance Tracking

The Attendance Tracking section provides administrators with comprehensive tools to view, monitor, and manage student attendance across all classes in the system.

Overview

Attendance Tracking enables you to:

  • View attendance reports for all classes
  • Monitor attendance trends and patterns
  • Generate attendance statistics
  • Export attendance data
  • Identify students with attendance issues
  • Review historical attendance records

Quick Attendance, face enrollment, and biometric audit

Administrators and teachers share several Attendance tools in the sidebar:

  • Daily Attendance — Traditional class-and-date attendance grid (/dashboard/attendance).
  • Quick AttendanceQuick Capture at /dashboard/attendance/quick-capture for faster capture workflows when your school uses them.
  • Face Enrollment — Registration and maintenance of biometric face data at /dashboard/attendance/face-enrollment (only relevant if your institution uses face-based attendance).
  • Biometric Audit Log — Read-only audit trail for biometric events at /dashboard/attendance/face-audit for compliance and support.

These features depend on your feature modules and hardware integration; your implementation partner can confirm which modes are live for your site.

Marking attendance from a class

The fastest way to take attendance for one class is from the class detail page:

  1. Open the class and go to the Attendance tab
  2. Pick the Date
  3. Click Load Students to pull the roster for that date
  4. Set each student to Present, Absent, Late, or Excused
  5. Click Save Attendance

For cross-class reports and analytics, use Reports Hub → Attendance or the Daily Attendance sidebar entry.

Viewing Attendance Reports

Accessing Attendance Dashboard

  1. Log in to the administrator dashboard
  2. Click on "Attendance Tracking" in the navigation menu
  3. View the attendance overview with key statistics

Key Statistics Displayed

  • Overall Attendance Rate: Percentage of total attendance
  • Today's Attendance: Current day statistics
  • Weekly Summary: Attendance for the current week
  • Monthly Trends: Attendance patterns over time
  • Class-wise Breakdown: Attendance by class

Filtering Attendance Data

Filter by Class

  1. Use the "Class" dropdown filter
  2. Select a specific class
  3. View attendance data for that class only

Filter by Date Range

  1. Click on the "Date Range" selector
  2. Choose start and end dates
  3. View attendance for the selected period

Filter by Student

  1. Use the search bar to find a specific student
  2. View that student's complete attendance history
  3. See attendance patterns and trends

Viewing Class Attendance

Daily Attendance View

  1. Navigate to Attendance Tracking
  2. Select a class from the list
  3. Choose a specific date
  4. View all students' attendance status for that day

Weekly Attendance View

  1. Select a class
  2. Choose "Weekly View"
  3. See attendance for all days of the week
  4. Identify patterns and absences

Monthly Attendance Summary

  1. Select a class and month
  2. View monthly attendance summary
  3. See total present, absent, and late counts
  4. Calculate attendance percentages

Attendance Statistics

Overall Statistics

The dashboard displays:

  • Total Students: Number of enrolled students
  • Present Count: Students marked present
  • Absent Count: Students marked absent
  • Late Count: Students marked late
  • Attendance Rate: Percentage calculation

Class-wise Statistics

View statistics for each class:

  • Average attendance rate
  • Best and worst attendance days
  • Students with perfect attendance
  • Students with attendance concerns

Identifying Attendance Issues

Students with Low Attendance

  1. Navigate to "Attendance Alerts"
  2. View students with attendance below threshold
  3. See detailed breakdown by student
  4. Identify patterns (specific days, classes)
  1. View attendance trends over time
  2. Identify improving or declining patterns
  3. Compare attendance across different periods
  4. Spot seasonal or weekly patterns

Exporting Attendance Data

Export Options

  1. Apply desired filters (class, date range, student)
  2. Click "Export" button
  3. Choose export format:
    • CSV: For spreadsheet applications
    • PDF: For reports and printing
    • Excel: For detailed analysis

Export Contents

Exported data includes:

  • Student names and IDs
  • Dates and attendance status
  • Class information
  • Summary statistics
  • Custom date ranges

Managing Attendance Data

Viewing Historical Records

  1. Navigate to "Historical Records"
  2. Select date range (can go back months/years)
  3. View complete attendance history
  4. Search and filter as needed

Attendance Corrections

While teachers mark daily attendance, administrators can:

  • View all attendance records
  • Identify discrepancies
  • Request corrections from teachers
  • Review attendance patterns

Daily attendance is typically marked by teachers. Administrators have view-only access to ensure data integrity, but can request corrections when needed.

Generate comprehensive reports:

  • Student Attendance Report: Individual student attendance history
  • Class Attendance Report: Attendance summary for a class
  • Monthly Attendance Report: Monthly attendance statistics
  • Custom Reports: Create reports with specific criteria

Analytics Dashboard

View visual analytics:

  • Attendance rate charts

Best Practices

Troubleshooting

Issue: Attendance data not appearing

  • Solution: Verify the date range and ensure teachers have marked attendance for those dates

Issue: Incorrect attendance statistics

  • Solution: Check for data entry errors and verify all attendance records are properly saved

Issue: Cannot export data

  • Solution: Ensure you have selected appropriate filters and that data exists for the selected criteria
