Messaging & Communication

The Messaging & Communication section allows administrators to send messages via SMS, WhatsApp, and email, track communication logs, manage fee reminders, and monitor messaging statistics.

Overview

Messaging & Communication enables you to:

  • Send SMS messages to students, parents, or teachers
  • Send WhatsApp messages
  • Send email notifications
  • Track message delivery and status
  • View messaging logs and history
  • Manage fee reminder campaigns
  • Monitor messaging statistics

Accessing Messaging Dashboard

  1. Log in to the administrator dashboard
  2. Navigate to "Messaging Dashboard" in the navigation menu
  3. You'll see messaging overview and quick actions

Sending SMS Messages

Single SMS

  1. Go to Messaging Dashboard
  2. Click "Send SMS"
  3. Select recipient (student, parent, or teacher)
  4. Enter message text
  5. Preview message
  6. Click "Send"

Bulk SMS

  1. Click "Send Bulk SMS"
  2. Select recipient group:
    • All students
    • Specific class
    • Parents
    • Teachers
  3. Enter message text
  4. Preview and send

SMS Configuration

SMS functionality requires proper configuration. Ensure SMS settings are configured in Settings before sending messages.

Sending WhatsApp Messages

Single WhatsApp Message

  1. Go to Messaging Dashboard
  2. Click "Send WhatsApp"
  3. Select recipient
  4. Enter message text
  5. Add media (optional)
  6. Send message

Bulk WhatsApp

  1. Select multiple recipients
  2. Enter message content
  3. Send to all selected recipients

Email Messaging

Sending Emails

  1. Navigate to messaging section
  2. Click "Send Email"
  3. Select recipients
  4. Enter subject and message
  5. Add attachments (optional)
  6. Send email

Email Templates

Use pre-configured templates for:

  • Welcome emails
  • Fee reminders
  • Assignment notifications
  • Attendance alerts
  • Grade notifications

Messaging Logs

Viewing SMS Logs

  1. Navigate to "SMS Logs"
  2. View all sent SMS messages
  3. See delivery status:
    • Sent
    • Delivered
    • Failed
    • Pending

Viewing WhatsApp Logs

  1. Navigate to "WhatsApp Logs"
  2. View WhatsApp message history
  3. Check delivery status
  4. View message content

Filtering Logs

Filter logs by:

  • Date range
  • Recipient
  • Status
  • Message type

Fee Reminders

Creating Fee Reminders

  1. Go to "Fee Reminder Logs"
  2. Click "Create Reminder"
  3. Select:
    • Recipients (students/parents with outstanding fees)
    • Reminder message template
    • Schedule (immediate or scheduled)
  4. Send reminders

Reminder Templates

Pre-configured templates for:

  • First reminder (friendly)
  • Second reminder (urgent)
  • Final reminder (critical)
  • Payment confirmation

Viewing Reminder Logs

  1. Navigate to Fee Reminder Logs
  2. View all sent reminders
  3. Track reminder effectiveness
  4. See payment responses

Messaging Statistics

Dashboard Statistics

View overview of:

  • Total Messages Sent: All message types
  • SMS Messages: SMS count and delivery rate
  • WhatsApp Messages: WhatsApp count and status
  • Email Messages: Email count and open rate
  • Delivery Rates: Success vs. failure rates

Detailed Analytics

Access detailed analytics:

  • Messages by date
  • Delivery success rates
  • Recipient engagement
  • Cost analysis (for paid services)

Message Templates

Creating Templates

  1. Go to Messaging settings
  2. Click "Templates"
  3. Create templates for:
    • Common messages
    • Notifications
    • Reminders
    • Announcements

Using Templates

  1. Select template when sending message
  2. Customize template variables
  3. Send personalized message

Best Practices

Troubleshooting

Issue: SMS not sending

  • Solution: Verify SMS configuration in Settings, check account balance (if applicable), and ensure phone numbers are in correct format.

Issue: WhatsApp messages failing

  • Solution: Ensure WhatsApp integration is properly configured and active. Check recipient phone numbers.

Issue: Messages not delivered

  • Solution: Verify recipient contact information is correct and up to date. Check message logs for specific error messages.
